Poster Session Requirements and Guidelines

Posters sessions provide an informal forum to report innovative projects, introduce new services and resources, or test research ideas of interest to distance librarianship. Posters may include narratives, tables, graphs, and handouts.

An articulate, expressive poster will contain only the crucial points of the research. Traditional elements include:

  • Introduction - objectives, context and hypotheses, or predictions
  • Methods - subjects, study site, and protocol
  • Results - including graphs, display of electronic content, etc.
  • Discussion and conclusions - significance of the findings
  • Acknowledgements and references

REQUIREMENTS:

  • Due to physical space limitations, a maximum of two presenters per poster at any one time is allowed.

  • Presenters are required to set-up and host their display for 50 minutes.

  • Posters must be in print format; electronic formats (laptops, iPads, etc.) can be used to supplement the print poster, but cannot be used in place of a print poster.

  • Presenters must submit a poster session abstract for inclusion in the conference proceedings. The abstract must follow these guidelines:
    • A one-paragraph abstract must follow the title, author(s) and affiliation(s). Space the abstract two and one-half inches on the left and two inches on the right; right justify the abstract only.
    • Poster session abstracts must not exceed 250 words.
    • Abstracts should be in a Word document. Abstracts submitted in PDF or any other format will not be accepted.
    • The deadline for submitting an abstract is December 6, 2013.

***A poster session contest will be held to encourage creativity in poster design and content. Attendees will vote on their favorite posters and the winning poster will be awarded a $50 Amazon gift certificate.

CREATING & MOUNTING A POSTER:

Dimensions for a poster should not exceed 4’ x 6’. Posters should be a balance between the informative and the artistic, and they should strive to highlight pertinent information while keeping in mind the logistics of attendees effectively reading and understanding the topic presented. The presenter's name and institution should also be available on the poster.

PRESENTERS ARE RESPONSIBLE FOR:

  • Actual poster and visual materials which comprise the presentation
  • Printing of any handouts
  • Sign-up sheet and/or business cards to record interest or follow-up for the presentation
  • Laptop and power cords, if applicable

CONFERENCE HOST IS RESPONSIBLE FOR:

  • Backing for the 4’ x 6’ poster
  • Materials for securing the posters to the 4’ x 6’ backing
  • Table for handouts and other supplementary materials
  • Power supply for a/v equipment including the presenter's laptop
